Let's examine the life of workers at U-Works, our fictional design company. (Not familiar with U-Works? Click here.).

To keep track of their clients, U-Works could have a large filing cabinet full of folders and files, arranged alphabetically by the client's name. Each time a U-Works employee needs to look up a client, they would need to go over to the filing cabinet and search for that client. Now, the first problem this employee, we'll call him John, could run into would be that he doesn't have the name of the client, just the phone number he got from the answering machine. So now John is going to have to look through all the files and folders until he finds the matching phone number. The second problem John would encounter would be if his manager has asked him to look up another client's information, and then create a month-by-month report of the ordering and payment history of that client. Now John has to sit there all day and go through all of the files and folders, looking up the client's history and manually creating a report for his manager.

Luckily our imaginary friend here works at our imaginary company, U-Works, who have decided to use IntentionallyU to build their business applications. Now, John can sit at his desk, and using his computer, look up the client's information, which isn't stored in some large filing cabinet, it's saved electronically in U-Works' very own client application, built by IntentionallyU. He can search for the client using any bit of information he has. Whether he has the full name of the client, or just the phone number or address, he can look for that customer with the click of a button. And that report that was going to take John all day? Those kinds of reports were pre-built by IntentionallyU, so all John has to do is click another button, and the report is run for him.

Sarah, another employee of U-Works, needs to add a new client to their records. Let's look at what she'll need to do to without the IntentionallyU solution. First, she needs to check that there are enough manilla folders in the supply cabinet. (Later we'll examine what IntentionallyU can do to help with your office supplies.) But for now, Sarah has a manilla folder, so she writes the name of the client on the tab of the folder, and then creates the necessary files for the folder. She will need to create an information sheet with the client's address, phone number and other vital information. Then any additional paperwork will need to be generated and put into the folder. Then she will need to make sure that the file cabinet has a divider for the letter of the alphabet that this client is under. Then she will need to file it away. Several months down the road, a few of the other employees at U-Works have needed to get that client's information, and they all now have copies of the files and documents lying around the office. The client calls and notifies Sarah that their address has changed. Sarah now needs to change the master file in the filing cabinet, as well as inform everyone else in the office that the address for that customer has changed. Hopefully everyone will remember to change their copy of the file as well...

Luckily all of that time can be saved, considering U-Works decided to use IntentionallyU. Now Sarah's time and effort are greatly reduced. Using the client application, Sarah would click a button to add new client information, fill out the necessary parts of the form, and click the Save button. That client has been added, and all the critical information is saved. And several months from now when the client calls to notify Sarah of the address change, she can change it once in the client application. The rest of the company has access to this application through their computers also, so they don't have random copies floating around the office needing the change.

John has sixteen clients he manages. Each of them needs to be properly billed for his work, mailings need to go out each quarter to promote return-business from his clients, and courtesy calls need to be made to follow up with clients. John will need to keep some information from each of the client's files near him at all times, so each day he can create task lists of which clients need follow-ups, which clients need to be billed, etc. This adds to the extra paperwork problem that Sarah ran into earlier when the client changed their address, not to mention the clutter that will build up on John's desk from keeping all of these files. And each day John hopes that in that stack of paper on his desk there isn't some client who needs to be billed, or another client that should recieve a follow-up letter that he has missed because his desk is so disorganized.

Thankfully, all of Johns worries are for naught, because U-Works has IntentionallyU. The client application stores all of the information electronically for John, so his desktop is clutter-free. And during the planning phase with IntentionallyU, U-Works made sure all of the required steps in the client-relationship were accounted for. So now, each day John turns on his computer and all of the tasks for the day are organized right there in the client application, the list of letters that need to be sent out is waiting for the click of his button. Everything in John's world is organized, thanks to IntentionallyU.
